How a pickleball activation works

The short version: you share a date, city, venue type, and rough court count. We scope surface and access, quote all-in pricing, then deliver professional courts, install them, staff the play window, and remove everything when the program ends. You are not renting a permanent facility or hiring three vendors to make one amenity work.

Indoors, rollout courts sit on convention floors, ballrooms, and carpet. Outdoors, they sit on parking lots, hard pads, grass, and rooftops — with a subfloor when the pad needs it so balls bounce true and the venue surface stays protected. Staffing is what separates a photo prop from a working activation: hosts teach a 90-second mini-clinic, keep rotations moving, and invite first-timers onto the court so the space stays full.

Branding is optional on a private team day and nearly required on a trade-show booth or sponsor activation. Wrapped courts and branded nets show up in every guest photo. Booking lead time, multi-day builds, and changes

Treat pickleball like AV or catering, not a last-minute add-on. Larger multi-court builds and busy convention weeks book out fastest. Ideal lead time is often several weeks to a few months; shorter windows can still work when equipment and crew are available, but they can limit court count, branding, and format options. Multi-day activations — trade-show weeks, festival runs, hotel amenity programs — usually leave courts installed for the full schedule rather than tearing down nightly, so staffing and overnight security need to be in the brief from day one.

If the date moves, tell us early. Rescheduling is usually straightforward when crew and trucks can shift; cancellation terms depend on proximity to the event and what has already been booked. Cost bands (honest, not invented)

Turnkey activations start in the five figures. A single-court, one-day corporate or private build typically begins around $10,000. Multi-court conference, trade-show, festival, and branded builds scale into the mid-five and six figures based on court count, days on-site, staffing, travel, surface or subfloor needs, and branding. You are not charged per guest who plays — which is why a busy court can host hundreds of rotations in a day without a per-head line item.

Insurance, COI, and venue protection

Professional activations carry appropriate insurance, and a certificate of insurance can be issued for the venue when required. Share naming, additional-insured language, and any permit needs early so paperwork does not block load-in. Rollout courts are designed to protect carpet, hardwood, and turf; grass and some outdoor pads get a subfloor specifically so the venue surface is not the risk. Staffing depth, court count, and format (open play, clinics, round-robin, bracket) should match the audience — not a generic "add pickleball" line on the run-of-show. Corporate tournaments and field days need different pacing than holiday-party cocktail hours or multifamily resident days.
